Thank you for registering as a Platinum sponsor for Metabolomics 2023!  Below are a few things to be aware of to ensure your organization takes advantage of all benefits that come with your sponsorship.

PLATINUM SPONSORS


SEND ORGANIZATION LOGO
To place your logo on the conference website and other conference materials, send both a high-res logo (ex. .ai or .eps file, vector art preferred) as well as a .jpg file of your company logo.  Send these files to info@metabolomicssociety.org.  Once payment has been received for your sponsorship, the logo will be displayed on the conference website.

ADDITIONAL SPONSORSHIP OPPORTUNITIES
You can elect to broaden the exposure of your company/organization to conference attendees through the add-on sponsorship opportunities.  For more information, please review the additional options listed on page 5 of the Sponsorship Brochure.

HOTEL RESERVATIONS
All registrants attending Metabolomics 2023 are responsible for booking their own hotel accommodations.  We are pleased to offer you several different hotel options during Metabolomics 2023 at various price points!  Please visit the Hotel Information page on the conference website to book your room.   Attendees are responsible for all travel and hotel costs. 

INDIVIDUAL CONFERENCE REGISTRATION
All exhibition staff must be registered to attend Metabolomics 2023 and must wear their Conference badge to gain access to the exhibition area.  To access the Exhibitor Portal and take advantage of the (6) discounted full conference passes and (2) complimentary registrations for exhibit hall only passes that come with your Platinum sponsorship package, please refer to the "Sponsorship Details Available" email sent to the Sponsor Coordinator.  

For additional exhibition staff requiring an "Exhibit Hall Only" badge (no access to science sessions or events outside of the exhibit hall), the cost is $300.00 USD.   Note:  The person who completed the sponsor registration is NOT registered for the event.  Please contact info@metabolomicssociety.org with any questions. 

IMPORTANT:  Please register each person with their individual email address, that is separate from the email address used to register your sponsorship.  The information on your sponsorship registration will be overwritten when the same email address is used.  Each registration needs to have a unique email address to keep the registration records separate in the system.

Booths should be staffed during dedicated exhibit hall hours listed below.  The hall will be open all day, however the off-times will have very low traffic.  It is up to each sponsor to determine whether or not they will staff their booth during these periods.

EXHIBITION DISPLAY SPACE
All sponsorship packages come only with the space for your display in the Exhibit Area.   All schell scheme or custom booth builds are the responsibility of the sponsor.  Sponsors are responsible for ordering all other items directly through Stronco, the Exhibitor Management company.  CLICK HERE to order directly from Stronco.  You can also reach them directly at exhibitorservices@stronco.com.  To access the AV exhibitor form, CLICK HERE. 

Deadline to order through Stronco is May 26, 2023.
Deadline for receiving shipments to the Advanced Warehouse is June 5, 2023 (find shipping address here).  The extended deadline is June 15 with a surcharge.  The fees will be calculated based on the arrival date and the weight that you enter in the Stronco portal.

EXHIBITION MANAGEMENT
Exhibitors will work directly with Stronco, the Exhibitor Management company to organize their booth needs. 

The Conference Organizers request that a company representative be present during exhibition stand move in and move out to supervise the safe delivery, construction, removal and collection of all exhibits.  The Organizers will not be held responsible for theft of an Exhibitor's goods, or responsibility for damage to property or lost shipments.

Self-Build Stands Set-Up:

All stands must be set up, materials cleared and staff in place by 16:00 on Monday, June 19, 2023.

Self-Build Stands Dismantle:
10:30 – 20:00 on Thursday, June 22, 2023
Please be mindful that attendees will be in the exhibit area moving to and from their Parallel Sessions until 10:45.  We cannot allow equipment in this space for tear down until 10:45.
All stands and materials must be cleared by 20:00 on Thursday, June 22, 2023.

Please ensure you advise your stand designers and builders that it must be possible to build and dismantle all stand designs within this timeframe.

LEAD MANAGEMENT
As prospects visit your booth, use the conference app to scan the QR code on the back of their badge to collect contact information.  The conference app will be available 1 week before the conference.  

Lead management profile questions (ex. When do you plan to purchase? Or, What industry are you in?) can be created by your organization (optional).  Once the QR code is scanned, a list of custom questions will appear.   You will record the answers directly in the conference app.  A report of all leads can be downloaded through the Exhibitor Portal. Please use your custom Exhibitor Portal token link, click on Lead Management, then add the questions where indicated.  If you cannot find your token link, email info@metabolomicssociety.org and one will be sent to you again.


CAREER NIGHT
The Metabolomics 2023 Career Night is welcoming potential employers looking to fill positions in the next year!  Both industry and academic employers are encouraged to sign up for a table, including academic employers with postdoctoral position openings.  This networking event will allow you to meet with job candidates during Career Night in Niagara Falls!  Don’t miss out on these qualified job candidates and click here to sign up for a table at Career Night.  Tables are free of charge, but a limited number are available.  Don’t delay!

COMPLIMENTARY CORPORATE MEMBERSHIP
Your sponsorship includes Corporate Membership to the Society.  No further action is required from your organization to activate the Corporate Membership.

ADVERTISEMENT BENEFITS
Access to delegates through the Society’s email service
Email blasts will be sent on your behalf from the Society’s email service.  The Platinum Sponsorship allows your company/organization one (1) message to be sent within three weeks before and/or after the conference, between May 29 and July 10, 2023.  Platinum Sponsors are encouraged to use this e-blast to advertise their lunch presentation and generate sign-ups prior to the event.

Your Corporate Membership entitles you to (3) email blasts to be sent to the membership database.  Only one email can be sent in a 30-day period.  To schedule email blasts, submit a header as a .jpeg file and your text in a separate word document to info@metabolomicssociety.org.  E-blast text should be submitted 4 weeks prior to your desired send date, as there are limited openings available each month.  E-blasts must be used between January - April or August - December, 2023.

60-minute oral presentation
Platinum sponsors will be given a 60-minute oral presentation as part of the lunchtime agenda.  All conference attendees will receive a box lunch to take to the presentation.  Additional food and beverage in your presentation room may be purchased by the sponsor at an additional cost (not included in the sponsorship amount).  Please send an email to info@metabolomicssociety.org with your 1st and 2nd date preference for your presentation (Tuesday, 6/20, or Wednesday, 6/21).  Every effort to accommodate your preference will be made, however presentation dates are assigned in the order that full payment is received.  Please send us your preferences by Friday, April 14.

To have a description of your Sponsor Presentation included in the conference app,  click here to access the abstract submission form.  Select “Approved Platinum Session” as your Presentation type.  For the Theme and Sub-Topic, select “Other – Platinum 60 min. Sponsor Presentation”.  We ask that you complete this by May 22, 2023 to be included in conference materials.

An eblast will be sent mid-April to all attendees encouraging them to log into the conference registration system to sign-up for Sponsor Presentations.  In preparation of this, you have the option to provide a one-page document or webpage to advertise your presentation on the conference website.  The Metabolomics 2022 website has examples of past Sponsors’ ads.  Please provide the one-page document by Tuesday, April 18.

Please note:  Your document or webpage may not include a registration or sign-up button.  All registrations for conference related activities must flow through the Metabolomics Society registration system.

5-8-minute Vendor Presentation
The designated Vendor Session will take place on Tuesday, June 20 from 3:30 – 5:15 p.m.  This is a time for our 5 Platinum and 5 Gold sponsors to provide an overview of the novel instrumentations, tools and services available to the metabolomics community.  This is a fast and efficient way for all attendees to get an overview of the latest technology developments in the market.

The presentation should be scientific, where you can highlight novel development of instrumentation (software), tools or services to make the audience aware of your novel developments (not a sales pitch).  The previous Vendor Sessions in 2022 were well received, as they were scientific, interesting, and relevant for the audience.  If your company will have presentation slides, they can be dropped off at the Presentation Desk at the Niagara Falls Convention Centre on Monday, June 19.

Vendor Presentation Order

Platinum Presenter Group:  Platinum Sponsors will present from 3:30 – 4:25 p.m.  Each Sponsor will have 8-9 minutes to present.  At the end of the Platinum session there will be a group Q&A for all Platinum panelists.

One (1) push notification in the conference app.
Platinum Sponsors have the opportunity to submit a push notification that will be sent through the conference app.  The notification must be 140 characters or less.  Verbiage for the notification will be due June 2, 2023.

Custom Signage
Platinum sponsors have the opportunity to create a 38" x 96" (meter board) custom sign to display at the conference with custom graphics the Sponsor provides.  Please click here to view the specifications for the artwork.  Conference organizers will manage the sign order.  Art will be due May 10, 2023.  

Profile/advertisement in digital abstract booklet
Platinum - full-page profile/advertisement.  
Please follow the below guidelines to ensure your ad is viewed properly in a digital format (downloadable pdf). Failure to do so may cause your ad to be viewed less than optimal.  Ad sizes are indicated in inches.  Artwork will be due May 10, 2023.

     Recommendations to ensure your AD will be viewed as intended:

  • Recommendation of at least .25" margin for live area.
  • Provide a press .pdf with fonts embedded or converted to outlines.
  • Recommended DPI of raster images is 150 - 300 dpi at 100% size.
  • Provide trim marks.


Corporate poster
Your sponsorship includes space for a corporate poster in the poster sessions on a designated sponsor's board.  It is not required that you select a Theme/Sub-topic from the Abstract Submission page, but rather you can present on any topic you'd like.  To submit the abstract for your corporate poster, click here to access the abstract submission form.   Select "Poster" as your Presentation Type and for the Theme and Sub-topic, select "Other - Platinum Sponsor Corporate Poster".  The deadline to submit information for your corporate poster to be included in conference materials is Friday, May 19, 2023.  The Poster Guidelines provides the specs and requirements for your corporate poster. 

Twitter Visibility
Platinum and Gold Sponsors have the opportunity to submit (optional) a sentence or two (280 characters or less) in response to the question:  What are you most excited about for Metabolomics 2023?  Your comment and logo will be placed on Twitter in a graphic similar to the below.
